Highlighted Rules and Regulations:

No one under the age of 18 on the show floor during move-in.

  • No one under the age of 15 on the show floor on show days.
  • No open-toed shoes during move-in or move-out.
  • On set-up days, anyone accessing the floor must have an official show badge or wristband.
  • On show days, anyone accessing the floor must have an official show badge.
  • Exhibitors may access the show floor early on show days. See the official Exhibition Schedule for specific hours.
  • POVs – Someone must remain with the vehicle at all times while at the loading dock.

Late Move-In
If you plan to begin your booth set up after 12:00 noon on 13 August 2024, please notify Show Management by 29 July 2024.  In order to avoid delays it is imperative that late set-ups order carpet, electricity, and furniture prior to arrival.

  • All booths must be fully set by 1600 on 13 August 2024.
  • Set up on the morning of 14 August is NOT permitted for this event.

If the exhibitor does not notify show management of late arrival, said exhibitor will be presumed a no-show, and the exhibit space will be re-sold or made into a lounge area.

What's Included with Booth Space Purchase

Items included in the cost of the Exhibit Space.

  • 10x10 booths will be set with an 8' high black back drape, 3’ high black side dividers, and a 11"x17" one-line identification sign.
  • Two (2) Complimentary Full Conference Symposium Registrations per 100 square feet of contracted exhibit space.  This includes admittance to Technical Sessions, Welcome Reception, Exhibition, Coffee Breaks, Networking Breakfasts, Luncheons and Networking Reception and a Digital Proceedings Code.
  • Two (2) Complimentary Guest Invites per 100 square feet of contracted exhibit space.
  • Exhibitor listing in official Conference Symposium Program.

Contracted Exhibitors

Contracted Exhibitors receive a complimentary full listing (Upgrade 2), which includes:

  • Company Name
  • Booth Number
  • Website URL
  • Company Address, Phone Numbers
  • Email Address
  • Welcome Message (limit 60 Characters)
  • Online Profile (limit 500 Characters)
  • 6 Product Categories (online only)

Your exhibitor profile is an attendee's first impression of your company, so it is very important to make sure this information is up to date and reads exactly as you wish for it to appear in your online listing. To get started, please log into the Exhibitor Portal using your unique, case sensitive company password (found on your booth space confirmation letter). If you are in need of password assistance, please email SPE. Once you have logged in, click "Edit Company Listing" and then make your updates. It is imperative that you click on ‘Save’ regardless of whether or not changes are made, this will alert management that your profile has been reviewed.  Deadline for company profiles 3 June 2024.

Booth Specifications, Rules, and Regulations

PLEASE NOTE: Failure to abide by these regulations can result in the loss of Priority Points.

Booth Equipment NOT Included with Booth Space Purchase

The venue is not carpeted; therefore, you ARE required to have carpet/floor covering in your booth space. You may choose to bring your own or order it from Freeman.  It is strongly recommended that you place your order prior to arriving in order to avoid delays.

Carpet, electricity, furniture, and trashcans are NOT included with your booth space purchase and should be ordered separately. Please see the drop downs in the accordion below for ordering information.

  • The exhibit hall aisles WILL be carpeted.
  • Carpeting/flooring in your booth space is mandatory.  If you choose to bring/order carpet or flooring, it must encompass the entire footprint of the exhibit space.
  • 10 x 10 booths will be set with an 8' high black back drape and 3’ high black side dividers.
  • Standard booth draping (8-ft. high black back drape and 3-ft. black side drape)
  • Any additional draping used must comply with show color scheme and the published fire safety regulations.
  • Exhibitors will still receive (1) ID Sign per booth of 300 sq.ft. or less and booths of 300 sq.ft. or larger can still request ID signs.
  • Exhibitor names and numbers will be displayed in standard black font only.

Special Event Insurance (SAMPLE PDF)
SPE does require each exhibitor to have insurance, however, proof of coverage is not required.

If you have hired or plan on hiring a 3rd party contractor to build your booth (other than Freeman and your own staff), please see the Third-Party Contractors (EAC) section below.

Highlighted Rules and Regulations

  • No open-toed shoes of any kind will be permitted on the exhibition floor during move-in or move-out. Violators of this safety rule will be asked to leave the exhibit floor.
  • Children under the age of 18 are not permitted on the show floor during move-in or move-out.
  • Children under the age of 15 are not permitted on the show floor during official show hours.
  • Animals are not permitted unless they are registered service animals.
  • Flying drones are not permitted.       

Photography/AV Recording Regulations
SPE is organized and operated exclusively to promote and further advance scientific and technical knowledge of offshore resources and environmental matters. To maintain the unparalleled technological experience, SPE must enforce a photography and videography policy that will protect the leading-edge technology showcased at the event. Please see the official Rules and Regulations to review the full policy.

Third Party Contractors (EACs)

Exhibitors
Exhibitors are no longer required to submit paperwork or payment for appointing a contractor. We do recommend that you review the information below and that you follow up with your contractor to ensure all steps have been taken by the posted deadlines.

If you have been hired to build/design booth space at this event, it is mandatory that you:

EACs needing access to the show floor during show days will need to be registered and badged. Please contact the exhibiting company so they can register your staff using their complimentary registrations.

EACs only needing access to the show floor during set-up and tear-down will not need to be badged. These employees will need to check-in at the freight door each morning to obtain a colored wristband. They will be required to provide government-issued photo IDs.

Please note – failure to follow the aforementioned processes will result in a delay or denial of access to the show floor.

Official Contractor
Freeman is our Official Show Decorator and is exempt from the above.

Exclusive Contractors
For insurance and safety reasons, Exclusive Contractors designated in the Official Exhibitor Services Manual MUST be used for services such as:

  • Catering
  • Electrical
  • Rigging
  • Plumbing
  • Drayage/Forklift Operations
  • Telecommunications

Guest Invitations

COMPLIMENTARY GUEST INVITATIONS
Invite existing or potential clients to visit you at the 2024 SPE Subsea Well Intervention Symposium.

Exhibiting companies will receive two (2) complimentary Guest Invitations per 100 sq. ft. of exhibit space purchased. Invitations are for one day only and will allow your guest to access the exhibit floor.  Guest invitations are not to be used for your employees/staff/EACs or for any other company’s employees/staff/EAC exhibiting at this show. This policy will be heavily enforced.  Violating the guest invitation terms can result in a reimbursement penalty and loss of priority points. Multiple violations can result in an inability to exhibit at future SPE shows.

PRE-PURCHASE ADDITIONAL GUEST INVITATIONS 

Please make sure you use your 2 complimentary passes before purchasing additional ones.

Guest Invitations (above your complimentary allotted number) for 2024 SPE Subsea Well Intervention Symposium must be PRE-PURCHASED.

  • Cost of additional Guest Invites - USD 75 each.
  • Purchased Guest Invites are non-refundable.
