TERMS AND CONDITIONS

Registration Fee

  • Fee includes workshop technical sessions, breakfast, lunch, coffee breaks, and reception.
  • SPE accepts American Express, Visa, and MasterCard credit cards. All registration fees are in Canadian Dollars (CAD). All registration fees are subject to 5% GST.
  • Registration fee DOES NOT include accommodation.
  • Registration of participants will only be confirmed upon registration and receipt of full payment.
  • All outstanding payments must be received on or before the date of the event for participants to be allowed to attend. SPE and CHOA reserve the right to cancel the registration if no payment is received before or on the date of the event.
  • Full fee is charged regardless of the length of time the Participant attends the event and cannot be pro-rated.

Cancellation and Refund Policy

  • Registration cancellations must be submitted in writing via email to canadianregistration@spe.org  and must be received on or before 6:00 p.m. Central Time on 1 April 2026 to receive a refund, minus a CAD 75 administrative processing fee. Cancellation requests received after 1 April 2026 at 6:00 p.m. Central Time are not eligible for a refund.

  • No refunds will be provided for no-shows. If you do not attend and fail to provide written notification in advance of the first day of the event, you will not be eligible for a refund. By registering for the event, you agree to comply with the terms outlined in this cancellation policy. 

  • Student conference registrations are subject to a CAD 25 administrative processing fee for cancellations.

Visa Invitation Letter

If you are a presenting author or an invited speaker in need of a visa letter, please contact Jinny Bae for further assistance.

Due to a large amount of fraudulent activity, we now have a strict protocol in place for international visitors that require a visa. Determine whether you will require a visa to enter Canada and plan accordingly. If you require a visa for entry, please be advised that the process of obtaining a visa may take several months.

Note:

  • Signed visa letters won’t be given less than three months before the event date.
  • Visa letters may not be issued until registration is confirmed by SPE.
  • It is the sole responsibility of the attendee to obtain the necessary paperwork for entry to Canada. This letter does not guarantee that you will be granted a visa, nor does it commit SPE to assist you in obtaining a visa. SPE will not pay any expenses incurred by you. We cannot send the letter to the embassy or consulate for you, nor can SPE contact the embassy or consulate on your behalf. We do not provide visa letters for family members.

SPE and CHOA reserve the right to change the speaker(s), date(s) and/or to cancel the workshop should circumstance beyond its control arises. SPE and CHOA will not be liable to participants for any damages, costs, losses or expenses of any kind incurred or suffered by participants as a result of or in relation to SPE and CHOA modifying, postponing or cancelling the event.

The Participant acknowledges and agrees that by registering for this event, the Participant accepts these Terms and Conditions and agrees to be bound by them.
