TERMS AND CONDITIONS

Registration Fee

  • Full symposium registrations include access to all technical sessions, exhibitions, coffee breaks, daily luncheon , networking receptions and one digital symposium proceedings access code.
  • SPE accepts American Express, Visa, and MasterCard credit cards. All registration fees are in Canadian dollars (CAD). All registration fees are subject to 5% GST.
  • Registration fee DOES NOT include accommodation.
  • Registration of participants will only be confirmed upon registration and receipt of full payment.
  • All outstanding payments must be received on or prior to the date of the event for participants to be allowed to attend. SPE reserves the right to cancel the registration if no payment is received prior to or on the date of the event.
  • Full fee is charged regardless of the length of time the participant attends the event and cannot be pro-rated.

Visa Invitation Letter

If you are a presenting author or an invited speaker in need of a visa letter, please contact Jinny Bae for further assistance.

Due to an increase in fraudulent activity, we have implemented a strict protocol for international attendees requiring a visa.

Please determine whether you require a visa to enter Canada and plan accordingly. If a visa is required, please note that the application process may take several months. You may print an official SPE invitation letter to support your application, which can be printed and submitted to the embassy or consulate.

Note:

  • Signed visa letters will not be issued less than three months prior to the event date.
  • Visa letters may only be issued once your registration has been confirmed by SPE.
  • It is the sole responsibility of the attendee to obtain all necessary documentation for entry into Canada.
  • An invitation letter does not guarantee visa approval, nor does it imply that SPE can assist with the visa process.
  • SPE will not cover any expenses related to visa applications.
  • We are unable to send letters directly to embassies or consulates or contact them on your behalf.
  • Visa letters are issued only to registered attendees and not for accompanying family members.

Taxes

  • Fee are made free and clear of, and without any deduction or withholding for and on account of, any taxes, duties or other deductions. Any such deduction or withholding, if required by the laws of any country are the sole responsibility of the participant.

Cancellation and Refund Policy

Registration cancellations must be submitted in writing via email to canadianregistration@spe.org and must be received on or before 5:00 p.m. Central Time on 16 November 2026 to receive a refund, minus a CAD 100 administrative processing fee. Cancellation requests received after 16 November 2026 at 5:00 p.m. Central Time are not eligible for a refund.

No refunds will be provided for no-shows. If you do not attend and fail to provide written notification in advance of the first day of the event, you will not be eligible for a refund. By registering for the event, you agree to comply with the terms outlined in this cancellation policy.  Please note that refunds will not be granted if you receive complimentary guest invitation. No exceptions.

Badge Pickup

Badges will be available for pick up on-site at the registration counter during registration hours.

Your Investment

Any income from this event will be invested back into SPE to support many other Society programs. When you attend an SPE event, you help provide even more opportunities for industry professionals to enhance their technical and professional competence. Scholarships, certification, the Distinguished Lecturer program and SPE’s energy education program, energy4me, are just a few examples that are supported by SPE.

Disclaimer

SPE reserves the right to change the speaker(s), date(s) and/or to cancel the symposium should circumstance beyond its control arises. SPE will not be liable to participants for any damages, costs, losses or expenses of any kind incurred or suffered by participants as a result of or in relation to SPE modifying, postponing or cancelling the symposium.

The participant acknowledges and agrees that by registering for this event, the participant accepts these Terms and Conditions and agrees to be bound by them.
