What is and isn't included with your Booth Space Purchase

Items included in the cost of the Exhibit Space.

  • 10x10 booths will be set with an 8' high black back drape, 3’ high black side dividers, and a 11"x17" one-line identification sign.
  • Two (2) Complimentary Full Conference Symposium Registrations per 100 square feet of contracted exhibit space.  This includes admittance to Technical Sessions, Welcome Reception, Exhibition, Coffee Breaks, Networking Breakfasts, Luncheons and Networking Reception and a Digital Proceedings Code.
  • Two (2) Complimentary Guest Invites per 100 square feet of contracted exhibit space.
  • Exhibitor listing in official Conference Symposium Program.

What is not included with with your exhibition space:

  • Floor covering for your booth – this is required. You can either bring your own floor covering or rent from Freeman, our General Services Contractor.  Freeman ordering information can be found in our Exhibitor Service Kit.

  • Booth furnishings – any furnishings including a table, chairs, a wastebasket, any kind of lighting must be brought in by you or rented from Freeman.

  • Electrical power - You must order any electrical power service needed for your booth space.  Power can be ordered from Galveston Island Convention Center.  Their order forms and pricing can be found in the Exhibitor Service Kit. 

  • Material handling – if you have any items shipped to your attention at your exhibit booth, there will be a charge to collect the shipment and transport it to your booth.  Please see our Rules and Regulations on what can be hand-carried into the exhibition. All shipping and drayage costs are the responsibility of the exhibitor.

  • Exhibitor Insurance – All exhibitors MUST carry an insurance policy that conforms to SPE's requirements (insurance requirements are available here: SAMPLE PDF).

Booth Move in begins Tuesday, 19 August, 2025 at 8:00am.

All booths must be fully set by 1600 on 19 August 2025.

SPECIAL RULES - MOVE IN & MOVE OUT:

  • No open-toed shoes during move-in or move-out.
  • No one under the age of 18 is allowed on the show floor during move-in or move-out.
  • Anyone requiring access to the show floor must have an official show badge or a wristband.
  • POVs – Someone must remain with the vehicle at all times while at the loading dock.

SPECIAL RULES - SHOW DAYS:

  • No one under the age of 15 on the show floor on show days.
  • Anyone accessing the show floor must have an official show badge.
  • Exhibitors may access the show floor early on show days. See the official Exhibition Schedule for specific hours.

LATE MOVE IN

  • All booths must be fully set by 1600 on 19 August 2025.
  • Set up on the morning of 20 August is NOT permitted for this event.

If you plan to begin your booth set up after 12:00 noon on Tuesday, 19 August 2025, please notify Show Management via the Late Move-in Notification Form no later than 21 July 2025.  In order to avoid delays it is imperative that late set-ups order carpet, electricity, and furniture prior to arrival.

Failure to notify show management of late arrival, said exhibitor will be presumed a no-show, and the exhibit space will be re-sold or made into a lounge area.

MOVE OUT / DISMANTLE

Early tear-down, vacating or dis-mantling your booth is strictly prohibited. Failure to observe this rule will result in a fine of USD $1,000. Should an Exhibitor begin to dismantle or vacate its exhibit space before the official close of the show, the Exhibitor will be  invoiced USD $1,000, and be subject to loss of their right to participate in future SPE events. Floor managers/Exhibit Staff/Security Staff will report the names of companies in violation of this rule to Show Management. An email along with an invoice will be sent post-show, informing Exhibitors of their penalty, and Exhibitor will not be permitted to participate in future SPE events until all outstanding balances are collected. Exhibitors are responsible for notifying their booth personnel of this regulation. In fairness to all Exhibitors, this regulation will be uniformly enforced for all SPE Exhibitors.

Booth Specifications, Rules, and Regulations

PLEASE NOTE: Failure to abide by these regulations can result in the loss of the right to participate in future SPE events.

Booth Equipment NOT Included with Booth Space Purchase

Carpet, electricity, furniture, and trashcans are NOT included with your booth space purchase and should be ordered separately. Please see the drop downs in the accordion below for ordering information.

The venue is not carpeted; therefore, you ARE required to have carpet/floor covering in your booth space. You may bring your own or order it from Freeman.  It is strongly recommended that you place your order prior to arriving to avoid onsite delays. If you choose to bring/order carpet or flooring, it must encompass the entire footprint of the exhibit space.

  • 10 x 10 booths will be set with an 8' high black back drape and 3’ high black side dividers.
  • Standard booth draping (8-ft. high black back drape and 3-ft. black side drape)
  • Any additional draping used must comply with show color scheme and the published fire safety regulations.
  • Exhibitors will still receive (1) ID Sign per booth of 300 sq.ft. or less and booths of 300 sq.ft. or larger can still request ID signs.
  • Exhibitor names and numbers will be displayed in standard black font only.

Special Event Insurance (SAMPLE PDF)
SPE does require each exhibitor to have insurance, however, proof of coverage is not required.

If you have hired or plan on hiring a 3rd party contractor to build your booth (other than Freeman and your own staff), please see the Third-Party Contractors (EAC) section below.

Highlighted Rules and Regulations

  • No open-toed shoes of any kind will be permitted on the exhibition floor during move-in or move-out. Violators of this safety rule will be asked to leave the exhibit floor.
  • Children under the age of 18 are not permitted on the show floor during move-in or move-out.
  • Children under the age of 15 are not permitted on the show floor during official show hours.
  • Animals are not permitted unless they are registered service animals.
  • Flying drones are not permitted.       

Photography/AV Recording Regulations
SPE is organized and operated exclusively to promote and further advance scientific and technical knowledge of offshore resources and environmental matters. To maintain the unparalleled technological experience, SPE must enforce a photography and videography policy that will protect the leading-edge technology showcased at the event. Third Party Contractors (EACs)

Exhibitors
Exhibitors are no longer required to submit paperwork or payment for appointing a contractor. We do recommend that you review the information below and that you follow up with your contractor to ensure all steps have been taken by the posted deadlines.

Contractors
If you have been hired to build/design booth space at this event, it is mandatory that you:

  • Complete and submit the EAC Agreement by 24 June 2025
  • Provide Certificate of Insurance (COIs)- (These should only be uploaded via the link provided here. Please DO NOT email to SPE or Freeman).

If you need to add additional companies at a later date, please visit this section and submit another request via the online form. Please do not email requests for these additions directly to our email inbox.

EACs needing access to the show floor during show days will need to be registered and badged. Please contact the exhibiting company so they can register your staff using their complimentary registrations.

EACs only needing access to the show floor during set-up and tear-down will not need to be badged. These employees will need to check-in at the freight door each morning to obtain a colored wristband. They will be required to provide government-issued photo IDs.

Please note – failure to follow the aforementioned processes will result in a delay or denial of access to the show floor.

Official Contractor
Freeman is our Official Show Decorator and is exempt from the above.

Exclusive Contractors
For insurance and safety reasons, Exclusive Contractors designated in the Official Exhibitor Services Manual MUST be used for services such as:

  • Catering
  • Electrical
  • Rigging
  • Plumbing
  • Drayage/Forklift Operations
  • Telecommunications
