Rules and Regulations 

SHOW DAYS

  • No one under the age of 15 on the show floor during show hours.
  • Anyone accessing the show floor must have an official conference badge.
  • Exhibitors may access the show floor early on show days. See the official Exhibition Schedule linked above for specific hours.

MOVE-IN AND MOVE-OUT

  • Exhibitor Move-In starts Sunday, 31 January and goes through Monday, 1 February.  
  • Due to safety reasons, no open-toed shoes during move in or move out.  Violators will be asked to leave the exhibit floor.
  • No pets on the exhibit floor.  Service dogs are approved with proper credentials.
  • No one under the age of 18 on the show floor during move-in or move out.
  • No loading or unloading through the Marriott lobby.
  • Anyone requiring access to the show floor must have an official show badge or a wristband.
  • If bringing oversized/large equipment, please complete the Heavy Equipment Form, so that special arrangements can be made to allow access for transport to your booth space.
  • Move-out starts at 5:00 pm. for Main Level Exhibits and 6:00 pm for Upper-Level Exhibits.
  • Early tear-down, vacating or dis-mantling your booth is strictly prohibited. Failure to observe this rule will result in a fine of USD $1,000. Should an Exhibitor begin to dismantle or vacate its exhibit space before the official close of the show, the Exhibitor will be penalized ten (10) points from their priority point total, if applicable, invoiced USD $1,000, and be subject to loss of their right to participate in future SPE events. Floor managers/Exhibit Staff/Security Staff will report the names of companies in violation of this rule to Show Management. An email along with an invoice will be sent post-show, informing Exhibitors of their penalty, and Exhibitor will not be permitted to participate in future SPE events until all outstanding balances are collected. Exhibitors are responsible for notifying their booth personnel of this regulation. In fairness to all Exhibitors, this regulation will be uniformly enforced for all SPE Exhibitors.

LATE MOVE-IN
If you plan to begin your booth set up after 2:00 pm on Monday 1 February, it is mandatory that you complete a Late Move-In Notification Form.  It is imperative that late set ups order electricity, internet, and furniture prior to 1 February 2027.  If the exhibitor does not notify show management of a late arrival, said exhibitor will be presumed a no-show and the exhibit space will be re-sold or made into a lounge area.

PRIVATELY OWNED VECHICLES (POV) 

  • Someone must remain with the vehicle at all times while at the loading dock.
  • No loading or unloading through the Marriott lobby

EXHIBITOR REGISTRATION

Each exhibiting company receives three (3) complimentary Full Conference Exhibitor Registrations per 100 square feet of booth space purchased for the purpose of registering booth personnel and any third-party contractors. (EAC's)

Any staff needing access to the exhibit floor on show days, (including booth staff and third-party contractors), MUST be registered as an Exhibitor and wearing an Exhibitor badge. Additional Exhibitor registrations may be purchased (up to 2 times the complimentary allotment) at the rate below.

Paid Exhibitor Registration Deadlines and Rates:

  • by 6 January - USD 400 
  • 7 January - 31 January - USD 475
  • 1-4 February - USD 550

Complimentary and paid exhibitor registration includes access to the exhibition, technical sessions, coffee breaks, daily lunches (must select time), reception, and early access to the exhibit floor (1 hour before opening). One Digital Proceedings code will be provided to the exhibiting company's primary contact.

GUEST INVITATIONS

Exhibiting companies will receive three (3) complimentary Guest Invitations per 100 sq. ft. of exhibit space purchased. Invitations are for one day only and will allow your guest to access the exhibit floor.

Additional invitations can be purchased through your registration dashboard.  This information was sent to the primary contact at your company. 

  • Cost of additional Guest Invitations - USD 85 each.
  • Purchased Guest Invitations are non-refundable. 
  • Guest Invitations DO NOT include lunch.
  • Guest invitations are not to be used for your employees/staff or for any other company’s employees/staff exhibiting at this show.  This policy will be heavily enforced.
  • Violating the guest invitation terms can result in a reimbursement penalty and loss of priority points. Multiple violations can result in an inability to exhibit at future SPE shows.

PHOTOGRAPHY/AV RECORDING REGULATIONS

SPE is organized and operated exclusively to promote and further advance scientific and technical knowledge of offshore resources and environmental matters. To maintain the unparalleled technological experience, SPE must enforce a photography and videography policy which will protect the leading-edge technology showcased at the event. Please see the official Rules and Regulations linked above to review the full policy.

PLEASE NOTE: Failure to abide by the above Rules & Regulations can result in a fine and/or loss of the right to participate in future SPE events.

Exhibitor Insurance Requirements

Exhibitor shall, at its own expense, secure and maintain insurance for the entire duration of the Event (move-in through move-out.)

All such insurance shall be primary of any other valid and collectible insurance of Exhibitor and shall be written on an occurrence basis. Claims made policies are not acceptable and do not constitute compliance with Exhibitor’s obligations under this paragraph.

  • Comprehensive General Liability insurance with limits not less than $1,000,000 each occurrence, $2,000,000 aggregate, combined single limit for bodily injury and property damage, including coverage for personal injury, contractual, and operation of mobile equipment, products, and liquor liability (if applicable).
  • Automobile Liability insurance (required if bringing automobiles into the show venue) with limits not less than $1,000,000 each occurrence combined single limit for bodily injury and property damage, including coverage for owned, non-owned and hired vehicles, including loading and unloading operators.

The Exhibitors comprehensive General Liability and Auto Liability insurance policies shall name as additional insureds (i) Society of Petroleum Engineers, and each of its direct and indirect subsidiaries and other affiliates and (ii) the Event Facility "The Woodlands Waterway Marriott Hotel & Convention Center" (with no limitations).

Exhibitor’s Workers Compensation and Occupational Disease insurance will be in full compliance with all federal and state laws, covering all Exhibitor’s employees engaged in the performance of any work for the Exhibitor. All property of the Exhibitor is understood to remain under its custody and control in transit to, during the Event, and from the confines of the hall. If requested, copies of additional insured endorsements, primary coverage endorsements and complete copies of policies satisfactory to SPE, shall be promptly furnished to SPE. Certified copies of the Certificates of Insurance or policies shall provide that they may not be cancelled without 30 days’ advance written notice to SPE. The Exhibitor shall obtain a waiver of subrogation from the carrier of each policy described above and the carrier of each other policy that provides fire, explosion or any other risk coverage insuring the Exhibitor’s property, in each case releasing in full such carrier’s subrogation rights.

While Exhibitors are required to have insurance coverage, proof of said coverage is not required unless requested by SPE.

Exhibitor Appointed Contractors (EACs) - Requirements

EXCLUSIVE CONTRACTORS

For insurance and safety reasons, exclusive contractors designated in the Service Manual must be used for the following services:

  • Catering

  • Electrical

  • Rigging

  • Plumbing

  • Material Handling / Forklift Operations

  • Internet / Telecommunications

OFFICIAL SHOW CONTRACTOR

Freeman is the Official Show Decorator and is exempt from the EAC approval process.

EXHIBITORS
Exhibitors are responsible for communicating all show rules and regulations to their appointed contractors. Please review the information below and follow up with your contractor(s) to ensure all required steps are completed by the posted deadlines and that all applicable fees are paid.

Completion of all required paperwork and proof of insurance from your Exhibitor Appointed Contractor (EAC) is mandatory for entry onto the show floor.

CONTRACTORS

If you have been hired by an exhibiting company to perform booth construction or other services, you are considered an Exhibitor Appointed Contractor (EAC). This includes, but is not limited to, booth builders, supervisors, designers, independent display companies, photographers, delivery personnel, and technicians.

Note: All EACs must complete the required EAC agreement and receive approval before being granted access to the exhibit floor. Please review the mandatory requirements below:

  • Complete and submit the EAC Agreement by 4 January 2027.
  • Provide Proof of Insurance - Mandatory (See Sample for Required Coverage) - Upload documents only via the provided link; please do not email insurance forms to SPE or Freeman.

Once your Agreement and Certificate of Insurance have been reviewed, you will receive an email confirming your approval or requesting additional information if requirements are incomplete. 

Failure to follow these procedures will result in delays or denial of show floor access.

ACCESS TO SHOW FLOOR

EACs will be granted access to the show floor only when all required documents have been received and approved.

  • Access during show days:
    • Access to the exhibit floor will not be permitted without an official EAC badge.
       

  • Access during move-in and move-out:
    • Badges are not required.

    • Staff must check in at the freight door each morning, present a valid government-issued photo ID, and obtain a colored wristband.

SUBCONTRACTORS
If a Main Contractor (EAC) engages any subcontractor(s) to perform work or provide services on their behalf or on behalf of an exhibitor, the following requirements apply:

  1. Notification Requirement
    The Main Contractor (EAC) must notify SPE in writing if a subcontractor has been hired. The notification must include the company name and scope of work for each subcontractor.
    This information must be submitted prior to the subcontractor’s access to the show floor to avoid delays in approval or entry.
     
  2. Insurance Responsibility
    The Main Contractor is responsible for ensuring that each subcontractor has the required insurance coverage in place or by listing the subcontractor as an additional insured on their certificate of insurance.
    The Main Contractor must retain proof of this coverage and provide it upon request and remains liable for ensuring all subcontractors are properly insured and comply with event safety and venue regulations.
     
  3. Show Floor Access
    No subcontractor is permitted to begin work on the show floor until the Main Contractor has submitted the required notification and received SPE’s acknowledgment of approval (or otherwise complied with all criteria). Failure to comply may result in subcontractor access being delayed or denied.
    • If a subcontractor requires access during show days, they must be registered under the Main Contractor’s (EAC’s).
    • Subcontractors are not eligible to obtain separate badges directly from SPE.
    • During set-up and tear-down periods, subcontractors must follow the same check-in procedures as all EAC personnel (photo ID and wristband access).
       
  4. Accountability
    The Main Contractor (EAC) is fully responsible for the conduct, safety compliance, and performance of all subcontractors working under their supervision. Failure to comply with these requirements may result in delays, denial of access, or revocation of on-site credentials.
